1. Who these terms are with
These terms apply to catering services provided by [COMPANY NAME — OWNER CONFIRMATION REQUIRED], trading as Al Kareem Catering ("we", "us"). "You" means the person or organisation booking the catering. They apply to every booking unless we have agreed something different in writing.
2. Quotes
A quote is based on the information you give us — the date, guest numbers, menu, venue and service required. It is not a booking. If any of those change, the price may change, and we will tell you before doing any additional work. Quotes are valid for [NUMBER] days unless we say otherwise.
3. Booking and deposit
Your booking is confirmed when you accept the quote and we have received your deposit of [DEPOSIT AMOUNT OR PERCENTAGE]. Until both have happened, your date is not held. The balance is payable [BALANCE TERMS].
4. Final numbers
You must confirm your final guest numbers by [DEADLINE] before the event. This is the number we cook for and the number we charge for. Numbers can usually be increased after that point if we have the capacity, but we cannot guarantee it and it may cost more. Numbers reduced after the deadline are charged at the confirmed figure, because the food has already been bought.
5. Allergies and dietary requirements
You must tell us about any allergy, intolerance or dietary requirement among your guests at the time of booking, and in any event before your final numbers are confirmed. We will tell you accurately what is in the dishes on your menu.
Our food is prepared in a kitchen that handles a range of ingredients, including allergens. Where we cannot exclude the risk of cross-contamination for a severe allergy, we will tell you so, and it is then for you to decide whether the affected guest eats the food. We cannot accept responsibility for a reaction where an allergy was not disclosed to us.
6. Delivery, collection and timings
We will agree a delivery or collection time with you in advance, based on when the food needs to be served. It is your responsibility to make sure someone is available to receive the food, and that we have the access we need at the venue. Where a delay is caused by the venue or by circumstances outside our control, we will do everything reasonable to put it right, but we cannot be held responsible for it.
Once food has been delivered and handed over, responsibility for storing and serving it safely passes to you. Hot food should be served promptly; leftovers should be cooled and refrigerated quickly, or discarded.
7. Venues
If your event is at a venue, it is your responsibility to check that the venue permits external caterers and to tell us about any conditions it imposes. We will provide any documentation the venue reasonably requires from us, but we need enough notice to do so.
8. Cancellation by you
Cancellations must be made in writing. The following applies unless we agree otherwise:
- More than [X] days before the event: [TERMS — e.g. deposit retained].
- Between [X] and [Y] days before: [TERMS — e.g. percentage of total].
- Fewer than [Y] days before: [TERMS — e.g. full amount, as food has been purchased].
These figures reflect the fact that ingredients are bought and staff committed in advance. They are placeholders and must be set by the business before publication.
9. Cancellation by us
We would only cancel in exceptional circumstances. If we do, we will refund everything you have paid us in full, and we will help you find an alternative caterer where we can.
10. Circumstances beyond our control
We are not liable for failure to perform where it is caused by something outside our reasonable control — including severe weather, road closures, utility failure, or restrictions imposed by a public authority. We will always try to find a workable alternative and will discuss it with you.
11. Liability
Nothing in these terms limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot lawfully be limited. Subject to that, our total liability in connection with a booking is limited to the amount you have paid us for it.
12. Complaints
If something is not right, tell us — ideally at the time, so we have a chance to fix it. Call 07754 656680. We take complaints seriously and will respond properly.
13. Governing law
These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction.
